    GPS Updates

    Inspections by Location IndustrySafe dashboard chart

    With the 5.16 release, IndustrySafe's GPS field has been updated so that it is now consistent across the Incident, Inspection, and JSA modules.

    Within Initial Incident, Inspection, or JSA recording forms which have the GPS field enabled, users can click the GPS button to open up a modal window displaying a map with their current location. Users are also able to use the map to adjust and select a new desired location.

    Once you confirm your current location, your current GPS coordinates will then auto-populate beneath the GPS button when the modal closes.

    As part of this update, a new pre-built chart, "Inspections by Location" has also been added to IndustrySafe's list of available dashboards. For help with adding charts and graphs to your dashboard, please review our Getting Started Guide.

    New Edit Modules and Edit Services Pages

    The Edit Modules section of System Functions has been redesigned with the 5.16 release.

    Admin users who have access to System Functions will see new options available in the Setup drop down, "Edit Modules" and "Edit Services", that reveal what modules and services are purchased and turned on in your IndustrySafe site.

    The updated Edit Modules page also allows admin users the ability to easily rename IndustrySafe’s modules as they appear in the navigational menu.

    Customer Requests and Fixes

    • Users will now receive a warning if the character limit of a text area field is exceeded.
    • A typo in which "HIPAA" was misspelled was corrected for a privacy alert within the Incidents Log.
    • The "Facility" field will now populate correctly within Corrective Action Closed email alerts that are sent to Investigators.
    • Training email alerts that are disabled by users will no longer become intermittently re-enabled.
    • The characters "%20" no longer appear in the description text boxes of the Claims Print Out Report.
    • If an employee does not have a hire date recorded and has not taken a class that is required by one of their training profiles, their employee profile page will now display them as being overdue for training.
    • A typo has been corrected in the confirmation prompt that displays when users delete an incident.
    • The edit button has been restored on JSA checklists when users create a JSA from an iPad.
    • An error message that appeared when users selected the "Back" button to navigate out of the Edit Inspection Checklists area of System Functions has been repaired.
    • Any user with add/edit access to the training module's class catalog can now archive training content courses.
    • The Hazard recording form's "Reported by" field now only auto-populates when the form is first created.

    5.15 Webinars

    Section and Location Enhancements

    With the 5.15 Release, you can now link employees to Section and Location values using the Employee Personal Information form. The Section and Location fields will then auto-populate for an employee marked as the Involved Employee of an incident, the Investigator/Auditor of an inspection, the Reporter of a hazard, the Observer of an observation, the Person Being Monitored in Industrial Hygiene sampling, or the Supervisor of a JSA.

    Section and Location fields have also been added to the Employee Information Log, Required Training Log, and the Training and Training Activity logs, as part of this update.

    New Log Report Fields

    The Observations; Inspections; Inspection Details; Hazards; and the Initial, Environmental, Vehicle, Security, and Employee Injury Incident Logs have been updated to include all of the default form fields that are available within their respective recording forms. For example, the Employee Injury Log will now allow users to report on fields such as Description of Location, Cost of Property Damage, and if the incident has been labeled OSHA reportable.

    Enable Initial Incidents for IndustrySafe’s Mobile App

    In mid-summer 2018, IndustrySafe updated our mobile app to allow for initial incident recording. Previously, system administrators had to contact IndustrySafe's Support Team in order to have the Incidents module enabled on their site’s Mobile App. With the 5.15 Release, system administrators now have the option to toggle Incidents and Inspections on or off for the Mobile App as needed.

    To allow your organization's users to record initial incident data on the go, go to System Functions > Setup > Edit Modules, adjust the Incidents module's Mobile Status dropdown from "Archived" to "Available," and click the "Save" button.

    Customer Requests and Fixes

    • The "Send Email" button is now displaying correctly within Task forms.
    • Employee user level permissions have been modified for supporting documents so that users can no longer view attachments to records that they do not have privileges to view.
    • Accents and special characters included in the first or last name fields of the user form no longer prevent the user from logging in.
    • Users that have been archived will no longer receive scheduled reports.
    • Changes to Training Module email templates, as well as the Asset Calibration Coming Due and Overdue email templates can now be saved successfully within the Email Template Editor.
    • Loading speeds of Video on Demand online training courses have been enhanced.
    • Clicking the system ID number of an incident within the Employee Injury Log will now cause the appropriate incident to open.
    • The "Motor Vehicle Incident Rate per 1 Million Miles Driven" and "Top 10 Locations by TCIR" Dashboard charts now calculate correctly. 
    • Blank checkboxes and column headings are no longer displaying within IndustrySafe's analysis grids.
    • An error message no longer appears when the Dashboard is exported to PDF.
    • Customer logos and other images now display correctly when a log report is exported to PDF.
    • An error message no longer appears within the Class Schedule form due to the number of enrolled employees in a course.
    • You can now add and delete Worker Type field values using the Monthly Statistics form editor without encountering an error message.

    Scheduled Reports Now Available in Excel Format

    IndustrySafe's report scheduler allows administrators to schedule reports to be run and emailed out on a regular basis. With the 5.14 update, system administrators can now set scheduled reports to be emailed out in an Excel file format.

    The report scheduler tool is available within all of IndustrySafe’s log reports. For more information on building scheduled reports, please review this guide.

    Enhanced Asset Calibration Tracking

    To help users better manage the calibration of assets, the "Calibration Due Date" field has been added to the Asset Summary Screen.

    Two new email alerts, "Calibration Coming Due" and "Calibration Overdue" Alerts, are also included in this release so that users can be notified of upcoming and past due asset calibrations. As a reminder, system administrators can configure these email alerts using IndustrySafe's Email Template Editor.

    Improved Password Reset and User Setup Workflows

    As part of our efforts to align ourselves with industry standards for password security, the 5.14 update will also implement improved password security processes that will impact IndustrySafe's new user setup and password reset procedures.

    Resetting Your Password

    To reset your password, click the "Forgot Password" link on the login page and enter in your email address when prompted. You will then receive an email containing a link that will take you to IndustrySafe's redesigned Reset Password Page.  There you'll be prompted to choose a new password that meets IndustrySafe's enhanced complexity requirements.

    After successfully resetting your password, you'll then receive an email confirmation that your password has been changed and you will be able to log in with your new credentials.

     

    Resetting a Password from the User Form

    As part of the 5.14 update, password fields have been removed from the user profile form and a "Reset Password" button has been added. This button will appear after a user profile form is saved for the first time. If an email address has been recorded for a user, clicking the "Password Reset" button will send an email to the user that will allow them to reset their password.

    System administrators should be aware that the "Email Address" field will now be set as a required field on the user form by default. However, administrators can set the field to be optional using the Form Editor.
     

    Setting up a New User

    When a user profile form is saved for the first time and an email address has been entered for the user, the new user will automatically be sent an email containing a link that will allow them to set up their password.

    Self Registration for Training Content Learners

    The 5.14 update includes a new registration process for training content learners who do not have a company email address.

    If an email address is not entered for a user and the "Training Content Learner" user property is checked off on the user profile form, a link to IndustrySafe's Self-Registration page will appear on the form after has been saved.

    System administrators can provide the learner with the link to IndustrySafe's Self-Registration page and their username or employee ID so that they can complete the user registration.

    When learners navigate to the Self-Registration page, they will enter their username or employee ID, and then will be prompted to enter their email address. Upon successful validation of the email address, the learner will be sent an email that will allow them to set up their password.

    Customer Requests and Fixes

    • After a Corrective Action form is saved once, the "Date Identified" field will become locked. To edit this field, users must be assigned to a user level with the "Modify Corrective Action Assignment" user permission.
    • Within Corrective Action forms, if a user has entered an Actual Completion Date that is before the Estimated Start Date, when the user attempts to save the form, their actual completion date will be cleared out and an error message will now appear at the top of the recording form. Clicking on this error message will take the user directly to the Actual Completion Date field.
    • The "Severity," "Probability," and "Risk Assessment" fields are now available within the Corrective Actions log.
    • Incident Print Out Reports generate successfully now upon clicking the "Create Report" button.
    • When the year is changed within a monthly stats form and the form is saved, the hours entered for each month will now display under the appropriate year within the Monthly Stats Summary Screen.
    • The advanced search for the Initial Incident Form no longer breaks when you search for closed incidents. Several other advanced search errors have also been corrected.
    • Links contained in Task email alerts now take the user directly into the task, instead of to the Home module.
    • Broken links contained in email notifications have been repaired for certain customers using IndustrySafe's Single Sign On (SSO) service.
    • The "Export to PDF" link within the Dashboard has been fixed. Previously, clicking this link would result in an error message.
    • The "Motor Vehicle Incident Rate per 1 Million Miles Driven" Dashboard chart has been repaired.
    • If you change the label of the Basic Information section heading on any form, the new label now displays on the form.
    • Several Public Web Form configuration issues have been fixed.

    • Administrators can now create training content learner user accounts using the user recording form. Previously, administrators would encounter an error message.
    • Learners will now encounter an error message if their site’s training content license has expired, and the learner attempts to begin a course.
    • The Training Module’s Attendance Matrix has been updated so that users can now filter for a particular class name without first selecting a facility. In addition, required, one-time classes will no longer be displayed as being completed if the employee did not take the course.
    • Users can now successfully generate a generic First Report of Injury (FROI) form for claims set in the states of Washington and Ohio. There are no state-specific forms that are available currently for Washington or Ohio.
    • An option has been addled to allow the “Attach File” button to be enabled on the final confirmation page of the Incident Public Web Form.
    • Using the Form Editor, administrators will now be able to configure the Date of Incident field’s autofill property on the Initial Incident Form, so that the field can automatically fill with today’s date, or remain blank for the user to enter.
    • The “Add Task” button will now display on the observation forms if this feature is turned on using the Form Editor.
    • The Data Import Log will now provide additional details when inserts or updates fail during a Monthly Statistics import.
    • The Spanish language version of the Machine Guarding Safety online training course will now load successfully for learners.
    • Administrators can now edit the field label for the “Date Identified” field on the Hazard Form using the Form Editor.
    • The Corrective Action Log will now display corrective actions that are linked to originating records from a disabled module.
    • A validation error message will now appear if a user enters an invalid claim number on the Claim Payment form.
    • Observation and inspection checklist items can now be translated into other languages for multi-lingual sites.
    • Changing the order of sections on a form using the Form Editor will no longer create a duplicate history section on the form.
    • An error preventing the Incident Print Out Report from opening was fixed.

    Initial Incident Form - Now Available

    Users that have access to IndustrySafe's Incidents Module can now use the mobile app to complete Initial Incident Forms.

    To enable the Incidents Module within the mobile app for your organization, please contact IndustrySafe's Support Team at support@industrysafe.com.

    After the module is enabled, upon logging into the app, you will then be prompted to select a module if you have access to both the Incidents and Inspections Modules.

    If you have any pending records for the module you've selected, you'll be taken to that module's pending queue, where you can edit or upload your pending forms to IndustrySafe Safety Management Software.

    If you do not have any pending records, you'll be taken straight to the Basic Information section of that module's form, and can begin entering in your data.

    You can add attachments and create and link corrective actions to incidents if needed. Once an internet connection is established, you can submit your incident data to the IndustrySafe Software so that you can conduct further investigation of the incident and fill out additional incident forms as needed.

    If an internet connection is not available, the incident will be saved to the your pending queue and can be uploaded to IndustrySafe when connectivity is available.

    System administrators can determine which Initial Incident form fields are available within the app using IndustrySafe's Initial Incident Form Editor.

    Attachment Enhancements

    As part of this release, the process of adding attachments to forms has also been improved. A new camera icon has been added to all sections of Initial Incident, Inspection, and Corrective Action forms so that you can add attachments to records at any time without having to navigate to the Additional Features section of forms.

    Inspections Public Web Form
     

    The 5.12 update introduces a new public web form that works in conjunction with IndustrySafe's Inspections Module.

    IndustrySafe’s public web forms allow any stakeholders in an organization to submit data to IndustrySafe, without requiring them to have a username or password.

    Stakeholders need only click a link to take them to the Inspections Public Web Form.

    Stakeholders utilizing the Inspections Public Web Form will fill out an inspection checklist. They will have the ability to leave comments on each line item, as well as add attachments.

    Once the inspection is completed, stakeholders will be taken to a confirmation screen verifying that their inspection was submitted to IndustrySafe. While on the confirmation screen, stakeholders have the option to add any additional attachments, print a hard copy of the recording form, or submit another inspection via the Inspections Public Web Form.

    The Inspections Public Web Form is an extra cost item that organizations can purchase as an add-on to IndustrySafe's Inspections module. Please note that the Inspections Public Web form must be used in conjunction with the Inspections module.

    Inspection Status Configuration Enhancements
     

    Previously, edits made to the Inspection Checklist Status field would be applied to all items in all inspection checklists. With the 5.12 update, however, system administrators will now be able to configure unique status values for a single checklist or even for a single checklist item.

    System administrators can configure inspection status values from the Edit Inspection Checklist page within System Functions.

    Stay tuned for more detailed instructions on how to configure unique statuses for your checklists and line items.

    Corrective Actions Enhancements

    System administrators are also given additional configuration options for the Corrective Actions recording form with the 5.12 update.

    Previously, system administrators were not able to configure status values for Corrective Actions, and were limited to using IndustrySafe’s default statuses of “Open” or “Complete.” The 5.12 update now allows administrators to edit these status options, or add new status values using the Form Editor to better track corrective actions that are in progress or partially complete. System administrators can also use the Form Editor’s advanced logic to prompt users to complete additional fields based on the status selected.

    System Administrators can now add the Severity, Probability, and Risk Assessment fields previously only available in the Hazards, Incidents, and Job Safety Analysis modules to the Corrective Action Form. These fields will assist users in determining the priority of a corrective action. These fields can be added to the Corrective Actions Recording Form by system administrators using the Form Editor.

    The IndustrySafe team has also added the Severity, Probability and Risk Assessments fields to the Corrective Actions Log to allow for trending and reporting with these fields.

    Monthly Statistics Recording Form Update
     

    The Monthly Statistics recording form used to record the number of employees, hours worked and miles driven has been redesigned with the 5.12 update in order to make incident rate reporting and monthly stats data imports quicker and easier for users.

    Additional guidance on how to enter monthly stats using the new form layout will be available shortly.

     Improved Log Report Loading Speeds
     

    Loading speeds have been significantly improved for IndustrySafe's log style reports.

    In addition, the process for building formulas within log reports has also changed as part of this update. Any existing formulas that you have applied to analysis grids will need to be updated to use a new syntax.

    The IndustrySafe Support Team has developed a helpful article that reviews these changes, and provides examples of commonly used formulas that will need to be updated.

    Creating an OSHA 300A CSV File Report

    IndustrySafe's OSHA 300A Create Report page has been updated so that you can comply with OSHA's final ruling requiring the electronic submission of recordkeeping data.

    This update allows you to easily generate and download a CSV file of OSHA 300A data for your applicable establishments. You can then upload your CSV file to OSHA's Injury Tracking Application (ITA) site, once this site is made available by OSHA.

    To generate a CSV file, go to Incidents > Regulatory Reports > OSHA 300a, and select "OSHA CSV" as the report's output format.

    You can choose to group your records by Facility, Business Group, Region, or Division. After selecting any desired filters, simply click the "Create Report" button to generate your CSV file.

    If your organization's CSV data does not meet OSHA's validation criteria, an error message will display providing you with additional information about the issue.

    You can click the “Ignore Error” button if you still wish to generate the report, and the download will start promptly.

    UPDATE:
    OSHA extended the submission deadline to December 1, 2017. The Injury Tracking Application (ITA) that will allow safety professionals to submit their 300A data to OSHA will be available August 1, 2017. CSV files downloaded from IndustrySafe will be accepted by the ITA. However, if you open the file and then attempt to save it, Excel will default to saving the file as a Unicode text, which will not be processed by the ITA. Please be sure that if you open or edit any CSV files from IndustrySafe, you are saving them as Comma Separated Values. 

    Customer Requests and Fixes

    • A new User Login Activity Log has been created to assist system administrators with trouble-shooting log in issues. To open this report, simply go to System Functions > Reports > User Login Activity Log.
    • The Report Scheduler Tool has been repaired so that all schedules can now be edited successfully.  Previously, certain schedules were intermittently unmodifiable.
    • A typo has been corrected within the Dashboard module's "Incidents by Day of Week" chart.
    • The Department dropdown field will become a search field if many values are available for the field.
    • When users create an OSHA 300 log and group the log by hierarchy layers other than facility, the correct city and state will now display on the report.
    • The Attach File button's functionality has been restored within Claim forms in which the Reserve and Payments fields have been removed.
    • The dropdown modal for the Instructor1 field in will now appear within the Training Class Schedule Form Editor.
    • The Business Group dropdown field's functionality has been restored within the Training module's Class Catalog form.
    • The Date Last Updated field on the Incident Form Summary Page has been repaired and will now display the appropriate date.
    • The Class Schedule Form Editor has been repaired so that the Form Editor will only display hierarchy levels that are currently in use.
    • Changes will now autosave correctly when users update the Observation Alternate Form using the Form Editor.
    • The Claims Import service has been updated so that claims are only created for specified incident types.
    • A translation bug has been corrected so that the text within the New Incident form's navigation menu, and Attach File and Send Email buttons are now translated correctly for non-English speakers.

    Training, Claims, Industrial Hygiene, Home, and System Functions Form Editors

    The 5.10 update provides IndustrySafe System Administrators with the ability to configure IndustrySafe’s Training, Claims, Industrial Hygiene, Task, Event, Document Library, User, Employee, Facility Profile, and Asset Profile recording forms to an even greater degree using the new Form Editor, which was previously rolled out to the recording forms in our Hazards, Corrective Actions, Incidents, Inspections, Observations, and Job Safety Analysis modules in our 5.65.7, and 5.9 updates.

    Using the Form Editor, admins can reorder, rename, remove, or create new fields and sections. Fields can also be laid out in two columns, which can help reduce the length of forms. In addition, tool tips and notes can be added to any field, which can contain instructions or hyperlinks to help explain fields to your end users.

    Training Content: Video on Demand

    The 5.10 update also includes a video on demand add-on to the Training Module.

    With the 5.10 release, customers that purchase this video on demand add-on will be able to deliver online training videos within IndustrySafe to groups of learners in a classroom environment.

    Video on Demand allows training managers to combine instructor training with online training. Instructors can start, pause, and continue a training video as needed to provide learners with additional guidance on a topic, field questions, and allow for face-to-face interaction between trainers and learners.

    Downloadable test questions and answers are provided within IndustrySafe for each video course, and instructors can easily print and distribute these quizzes to workers. Then after the course is complete, instructors can use IndustrySafe's class results wizard to record and track results within the Training module.

    Each course within IndustrySafe's course catalog is available in a Video on Demand format.

    Observations Enhancements

    As part of the 5.10 update, users are now able to sort observation checklists by categories, similar to IndustrySafe's inspection checklists. The category field will be disabled by default. To set up and edit your observation categories, IndustrySafe Administrator users can go to System Functions > Setup > Edit Observation Checklists > Add/Edit Categories.

    Cal/OSHA Logs

    Users can now generate Cal/OSHA 301, 300, and 300A reports within the Incidents Module. To generate Cal/OSHA logs,  go to the Regulatory Reports tab within the Incidents module's horizontal menu, select the report you wish to create, enter in the name of your California-based facility and set other desired filters, then select the "Create Report" button. If the state of your facility is set to "California" within its Facility Profile form, the appropriate Cal/OSHA log will generate.

    • "Property Damage" is now available as a dropdown value under the "Type of Claim" field within the Claims Module.
    •  Data imported via IndustrySafe's Inspection Data Import service will now display in IndustrySafe's Data Import Log, so that users can view how many records were processed, inserted, or updated, and can view detailed error messages explaining why inspection data imports have failed.
    • The "Submitted By" Employee Name and ID fields have been added to the Incidents Log and Employee Injury Log.
    • A System ID field has been added to the New Incident Alerts for the Involved Employee and Supervisor, and may be enabled to display in these email alerts by IndustrySafe System Administrators.
    • Users can now filter the "Days without Employee Injuries," "Days without an Incident," "Days without an OSHA Recordable Incident," and "Days without a Lost Time Incident" dashboard charts through the end date of a selected date range. Previously, these charts were programmed to only show data based on today's date.
    • The "Send Email" button has been repaired within the Corrective Actions form.
    • Formatting improvements have been made to the "Edit Drop Down" window within IndustrySafe's Form Editors.
    • The Observations Import Service's character limit for the "Comment" field has been expanded.
    • Updates have been made to the California First Report of Injury form.

    IndustrySafe's Inspections Form Editor

    Dashboard Updates

    IndustrySafe's Dashboard has been updated with a brand new filters panel that allows users to easily filter the Dashboard by multiple locations, supervisor names, and worker types. This new filters panel contains the following multi-select filters: Business Group, Region, Division, Facility, Facility Type, Facility Category, Client, Subclient, Program, Section, Location, Department, Supervisor Name, and Worker Type.

    To open up the filters panel,  click the "Display Filters" button located in the top left corner of the Dashboard. Clicking the panel's Apply Filters button will apply your selected filters to the Dashboard. Clicking the Save Filters button will save your selected filters so that they will be applied each time you open the Dashboard. Clicking the Reset Filters button will clear your saved filters, and clicking the Reset Dashboard button will reset you dashboard panels to the default layout and remove any custom charts and graphs that have been added.

    Log Report Enhancements

    IndustrySafe's report scheduler tool has now been added to all of IndustrySafe's log reports. For more information about this feature, please review our Report Scheduler Guide.

    Additional enhancements have also been made to IndustrySafe's log reports that provide users with greater control over the formatting of charts and graphs, as well as the ability to quickly and easily create charts and graphs on the fly, and create comparisons between two sets of data.

    Improved Formatting and Organization

    As part of the improved look and feel of analysis grids, formatting and organization changes have been applied to the layouts of these reports. For example, at the top of the page, the Formula, Filter, Add Chart, and Add Crosstab tabs are displayed beneath the log's heading components. To access the Columns, Sort, Group, Aggregate, and Paging tabs, users can click the gear icon located next to the Table heading.

    In addition, users can now click column headings within the log's table to open up and select the following sorting, formatting, and reporting options:

    • Sort A-Z
    • Sort Z-A
    • Filter - allows users to select a value to filter the column by
    • Group - groups the log by the values in this column
    • Aggregate - allows users to create counts of the data entered into each column row
    • Format - allows users to adjust a column's text alignment, date format, and make other formatting changes
    • Add Chart - creates a suggested chart or graph based on this column, which users can edit if desired.
    • Add Crosstab - allows users to set crosstab columns, rows, and cells based on the column selected, as well as other recommended columns

    Suggested Charts and Graphs

    A suggested chart or graph will automatically display after a column's Add Chart option is clicked. The suggested chart that displays will contain intuitive proposed aggregates and more based on the column selected. If the suggested chart is not what you had intended to create, you can easily edit the chart's data column, aggregate, and more to create your desired chart or graph.

    Comparisons

    When creating a new chart, you can now use a new Compare Column to compare two sets of data. For example, the charts below display the number of incidents that did or did not involve an employee injury, as well as the number of these incidents that were OSHA recordable.

    Comparisons can be displayed in a few formats, with the comparison data being incorporated into the main data column as shown in the first chart below, or broken out into its own separate columns as shown in the second chart below.

    Customer Requests and Fixes

    We greatly appreciate the feedback that we receive from our customers and always strive to update the IndustrySafe software based on your ideas and suggestions.

    The following customer requests and fixes have been implemented with the 5.9 Update:

    • The Export to PDF, Export to CSV, and Export to Excel buttons no longer shift to the far right edge of the screen when log reports reload.
    • When a log report is exported to a PDF, the logos and report title in the PDF header are now spaced evenly across the page, and are no longer left-aligned.
    • If your organization has edited the field label for the "Was an employee injured?" field, your edited field label will now display in Incident email alerts.
    • You can now add IndustrySafe's secondary cause dropdown to the secondary cause subform using the Incident Form Editor. In addition, the Form Editor will now autosave when subforms are added to a form.
    • Information entered via the Incident Public Web Form into the Vehicle Involved, Other Vehicle Involved, Witness Information, and Non-Employee Injury subforms will now successfully save.
    • The add attachments and re-occurring task scheduling functionalities have been restored to the  Task form. In addition, when linking Tasks to Incidents, the Originating Type or ID will now autopopulate.
    • The Enroll button has been restored for employee users in the Upcoming Classes list for open enrollment classes.
    • An internet address can now be added as a hyperlink field using the Form Editor.
    • Check boxes on the New Incident Form can now be successfully set to be checked off by default using the Form Editor.
    • The Business Group, Region, Division, Section, and Location hierarchy fields have been added to Corrective Action email alerts.
    • Files that contain Chinese characters in their titles can now be successfully attached to records.
    • The Training Data Import process has been updated so that Employee ID and Email Address checks are no longer case sensitive.
    • The Incidents by Supervisor report will now generate successfully when users filter by Facility.
    • The Recordable Incident Rate Report will now list all facilities within the associated hierarchy layers when the report is exported to Excel.
    • You will no longer be prompted to select a program with which to open an attached file that has been downloaded from a record. The file will now open automatically.
    • The Training Content Learner License field label is now hidden from the user form for customers that have not purchased IndustrySafe's training content add-on.
    • When the dashboard module is open for a long period of time and the system times out, IndustrySafe's standard time-out message will now appear.
    • You can now link directly to summary screens from outside of IndustrySafe. If you are not logged in already, clicking a link to a summary screen will take you to IndustrySafe's login page and then to the summary screen upon logging in. If you are already logged in, clicking the link will take you directly to the summary screen

    Email Enhancements

    The 5.8 Release provides IndustrySafe System Administrators with the ability to edit the subject lines and body text of IndustrySafe's automatic email notifications, including formatting changes.

    To edit email notifications, simply select the System Functions wrench, followed by Setup and Edit Email Templates. Then select the notification you wish to edit from the drop down menu. A preview of the email notification will appear and you can edit the email template by selecting the Edit button.

    IndustrySafe's 5.8 update also contains two new Incident email alerts, the New Incident Alert for Involved Employees and the New Incident Alert for Supervisors. The New Incident Alert for Involved Employees is sent out to the person identified as the involved employee on the New Incident Form when an incident is first added or when the involved employee is changed. In addition, IndustrySafe administrators can configure this email alert so that it is also sent out to the involved employee's supervisor or HR supervisor, to the preparer of the incident form, or to the individual to whom the incident was reported.

    The New Incident Alert for Supervisors is sent to the person identified as the supervisor on the Incident Investigation Form when an incident investigation is first added or when the the supervisor is changed. Administrators can configure the New Incident Alert for Supervisors so that it is also sent out to an incident's involved employee, their HR supervisor, to the preparer of the incident form, or to the individual to whom the incident was reported.

    Corrective Action and Training Module Analysis Grid Enhancements

    IndustrySafe's 5.8 Release also includes reporting enhancements within the Corrective Action and Training Modules. Two new fields, "Originating Record Date" and "Originating Record Description" have been added to IndustrySafe's Corrective Actions Log to improve tracking of linked Corrective Actions.

    The Training Module's Required Training by Job Title and Required Training by Profile Reports have been upgraded to log-style reports to provide users with enhanced data analysis capabilities. The Training Module's CDL Renewal and Medical Exam Renewal Reports have also been combined into a new Employee Information Log, which can be used to track employees that are past due or have a coming due medical exam or CDL, as well as other key information such as a worker's employment status, hire date, and more. To open up the Employee Information Log, simply go to the Training Module, click "Reports and Analysis" and select the report from the dropdown menu.

    Preview Form Editor Changes

    System administrators can now preview edits they plan to make to recording forms using the Form Editor's new Print Preview button.

    After clicking the Print Preview button, a PDF will open displaying exactly how an end user will view an edited form, so that administrators can preview their edits before publishing their changes.

    Add-on for Online Safety Training

    IndustrySafe's 5.8 Release will also allow customers to purchase online safety training courses as add-ons to the Training Module. With this training content add-on, training managers, employees, and even contractors will be able to sign up for, view, and complete online safety training courses directly from the Training Module.

    Training Home Page Updates

    As part of IndustrySafe's 5.8 release, the Training Module's home page has been updated to feature a new "My Training" view that will allow users to view only their own training information.

    Employee users that navigate to the Training Module will now be taken directly to this "My Training" page, instead of to their Employee Information page.

    Administrator and Manager users that have been granted access to the Training Module's Class Catalog, Class Schedule, and reports, will be able to use the "Home" and "My Training" tabs to toggle between their current home page view of the Training Module, and the new "My Training" view.

    The My Training page features three panels, "My Classroom Training," which displays an employee's upcoming classroom training and allows an employee to withdraw from courses.

    If your organization has purchased IndustrySafe's online safety training add-on, the "My Online Training" panel will display the upcoming online safety training classes than an employee has been assigned to take. Employees can click the "Start" or "Continue" buttons located next to each course to begin or continue taking their scheduled online training.

    As part of the 5.7 Release, enhancements have also been made to IndustrySafe's Incident, Observation, and Hazard Public Web Forms. IndustrySafe's Public Web Forms can be made accessible to all of your stakeholders via simple web links to allow for easy incident, observation, and hazard reporting. No login, username or password is required to use these forms.

    The Public Web Forms are broken into manageable sections and stakeholders cannot move on to the next section of the public form until all required fields in a section are complete. Previously, stakeholders could not return to previous sections to edit their responses. However, the 5.7 update allows stakeholders to easily navigate back to previous sections using a new "Back" button.

    In addition, the Incident Public Web Form has been updated so that users are taken to a new landing page after creating an Initial Incident Form. From there, you can choose to edit or print your Initial Incident Form, add attachments, or complete additional incident forms, such as the Incident Investigation form, or the new Environmental Incident Public Web Form.

    Once you've completed your desired Incident forms, you can click the "Submit" button to submit your Incident to the IndustrySafe software.

    Schedule Required Training and Inspection Log Reports

    In our previous 5.6.1 update, IndustrySafe released a new report scheduling tool allowing administrators to schedule reports to be run and emailed out on a regular basis. Using the Report Scheduler, IndustrySafe System Administrators can set an exact date and time at which the report will be run and sent out, and can choose to rerun and send out the report on a daily, weekly, or monthly schedule. The report will be emailed as a PDF attachment.

    Initially, the Report Scheduler was only available in the following select reports: the Incidents Log, Employee Injury Log, Observations Log, and Observation Details Log. However, as part of the 5.7 Release, the Report Scheduler is now available in the following reports:

    • Inspections Log
    • Inspection Details Log
    • Hazards Log
    • Corrective Actions Log
    • Required Training Log
    • Data Import Log

    Form Editor

    The 5.6 update includes a Form Editor for Hazards and Corrective Actions that provides IndustrySafe System Administrators greater flexibility when configuring their recording forms.  Over time, the Form Editor will become available for our other modules and will replace Edit Forms.  The main features of the Form Editor are explained below and in a short video.

    Reorder Fields and Sections

    Users can reorder fields and sections to put them in any order throughout the recording form.

    Rename Fields and Sections

    Fields and sections on the recording form can be renamed so the site can be completely configured to use your organization’s terminology.

    Users can create new fields and new sections with additional field types.

    Users can remove fields and sections from the recording form.

    Tooltips

    Tooltips, which can contain instructions or hyperlinks to help end users, are able to be added to any field.

    Multiple columns can be added to the form which can help reduce the length of a form.

    What You See Is What You Get

    The Form Editor will display the form exactly how an end user would be viewing the form.

    Automatic Save

    Any changes that are made within Form Editor are saved automatically. If a change was made in error, we have an “Undo” function. When changes are complete, select “Publish” to apply your changes to the form.

    New Incident Email Alert Updates

    You will now have more options when configuring your new incident email alerts. As a reminder, you can configure your new incident alerts by selecting the System Functions wrench, followed by Setup and Edit Forms. Then select the New Incident Form as your recording form and Email Alerts as your section.

    With the new update, you are now able to configure up to six alerts for new incidents, in addition to the standard alerts for Employee Injuries and OSHA Recordable Incidents.  Previously, you were able to configure 3 alerts for new incidents.

    Configure Email Alert Triggers

    In addition, you now have more options to choose from when configuring the new incident alerts. Previously you could configure the alert so it was only sent when a specific incident type or worker type value was selected on the New Incident Form.  You can now use the fields for Incident Type, Worker Type, Section, Location, Probability, and Severity to trigger the email alert and you can select multiple values for each field. For each filter you select, select one value or multiple values by holding down your control key. For example, you can now configure a new incident alert for incident type "Employee Injury" and "Near Miss" and worker type "Full-Time Employee" and "Contractor."  The alert will be triggered when one of the values listed for each filter is selected on the New Incident Form.

    Once you setup your new incident alerts, you can determine which user levels get each alert by selecting the System Functions wrench, followed by Users and Add/Edit Levels. Then select the Edit link for the User Level you want to modify.  On the Edit User Level page, check the boxes of the new incident alerts that should be sent to users with this user level.

    Asset Inventory
    Users will now be able to link assets to recording forms within IndustrySafe.   System Administrators can complete an asset inventory to include all of their assets (similar to completing a facility profile).   Once the asset inventory is populated in IndustrySafe, key asset information (such as vehicle information) can be auto-populated on the appropriate form.  For example when selecting a vehicle number for a vehicle incident, key vehicle information will be populated on the vehicle section of the incident recording form.    Users will also be able to conduct trending on these assets on various reports throughout the IndustrySafe software.

    Scored Inspections
    Users will now be able to weigh each item of an inspection checklist by assigning points to each inspection item so that different inspection items can be weighted more or less heavily in achieving compliance.  In the System Functions area of IndustrySafe, IndustrySafe System Administrators can now assign points to each item of a checklist and a percentage to each checklist item status value (i.e. compliance and non-compliance). The compliance score for each checklist item is calculated by multiplying the status value by the item score.  The total inspection score is calculated by summing up each individual compliance score and dividing by the number of total points that can be achieved.  By default all inspection items will be weighted equally so that your current inspection compliance rates will not change unless your IndustrySafe System Administrators modify scores and/or checklist status values.

    Hazard Form and Reporting Log Updates
    The IndustrySafe hazard form has been updated to include additional fields on mitigated risk including fields for proposed mitigation, mitigated severity, mitigated probability, and mitigated risk.  A hazard status field has also been added to the form.   In addition all of these fields are now available on the hazards reporting log.

    OSHA Reporting Updates
    Due to modifications in OSHA reporting effective January 1, 2015, the IndustrySafe team has updated the IndustrySafe software to assist with these reporting requirements.   This modification requires organizations to notify OSHA (within 8 or 24 hours) of death, hospitalization of an employee as an in-patient, or an OSHA recordable injury resulting in amputation or loss of an eye (previously the OSHA reportable requirements were for death and/or a hospitalization of three or more employees).  IndustrySafe updates now include an alert to notify employees of OSHA reportable incidents as well as the ability to track the information reported to OSHA within the recordkeeping section of the Incident Investigation form.

    JSA Enhancements
    The JSA module has been enhanced to include the addition of columns for PPE and Responsible Party in the JSA recording form and reports. The IndustrySafe team also created a new tool to allow users to create a JSA  from a catalog of existing JSAs. The JSA update also includes a new report print out, and an enhanced printer friendly view.

    Enhanced Print Outs -5.4.2 September 2014 Release
    We have merged the "Printer Friendly View" and "Print" features on recording forms into a single print function. You can now click the print button to get a PDF print-out that displays all the fields on the form, linked records (such as corrective action items) and all images attached to the record.

    Employee Pages
    The employee page for each individual employee has received a face lift as well as several new features.   Users can now directly add attachments to an employee record and view observer and observer history information (for organizations with the Observations Module).   Employees can also view upcoming classes directly from this page as well as link to training calendar to enroll in additional classes.

    Class Schedule
    The Class Schedule Summary Screen has been revised so that  trainers can directly enroll employees into classes without first going to the class schedule form.  The class schedule form has been enhanced with an updated look and feel and combined the enrollment wizard and the results class update in one modal pop-up.  The class schedule also now includes options to enable open enrollment (meaning that employee users (and other users) can self-enroll in open classes via the class calendar function)  The class schedule also includes the ability to set a maximum class size for each class that will prevent employee users from enrolling in classes that have reached the maximum limit.

    Enrollment and Results Wizards
    The enrollment and results wizards have been updated to include an enhanced interface and a class invite option (Previously employees could only be enrolled in a class).  The invite option allows Training Managers and Supervisors to invite employees (with automatic emails sent to each invited employees) to the class and have employees choose to accept (or decline) the invitation.  Employees who accept the invitation will be automatically enrolled in the class.  Employee Users can also enroll for other classes using the open enrollment feature (and also withdraw from classes).   The withdraw feature has been updated so that employees can now automatically receive an email if they are withdrawn from a class.

    Calendar Features
    The Class Calendar has been updated so users can view a complete training calendar.  Employee users will be able to enroll and withdraw from classes that they have been invited to and/or are classes with open enrollment.   Training Managers and Administrators will be able to view all applicable classes on the calendar and manage the enrollment of those classes from the calendar.

    Saving and Sharing Reports
    All analysis grids custom reports can now be shared among all applicable IndustrySafe users.   IndustrySafe Administrators can now share custom reports they create in the analysis grid by selecting the share button next to the report name (when opening an existing reports).   Shared reports will be available to all applicable users.

    Enhanced Reporting
    Our new enhanced reporting features are available in the following log reports including:

    • Employee Injury Log
    • Incident Corrective Actions Log
    • Observations Detail Log -New
    • Observations Corrective Actions Log

    These reports include all of the following:

    There have also been other additional reporting features including:

    • Additional fields added to the Incident Log including severity, probability, risk assessment, date submitted, and claims information
    • Near Miss and First Aid Incident Rates Report -new report that allows users to view incident rates for all incidents, incidents without an employee injury, incidents with an employee injury, and incidents involving first aid.

    Two new  Observation Dashboards -Observations by Time of Day and Observations by Day of Week have been added to IndustrySafe standard dashboards. (Users need to go to Change Dashboard panel to add these charts to their Dashboard).

    Multi-Select Area of Body and Body Part
    Area of body and body parts (available on the incident investigation form for employee injuries) are now multi-select drop downs.  Users can now select multiple areas of the body and multiple areas of the body for injuries.

    Linked Incidents
    Users can now link incidents together for those incidents in which a single event caused multiple employee injuries.  Users simply go to the Add Button on the Choose Incident Page and select Linked Incidents.  A new incident form will be generated with information auto filling from the original incident and the user can simply enter the name of the additional injured employee.  The additional injured employee will have their own incident forms but will always be connected to the original incident.

    The Monthly Statistics Summary Screen has been updated to included additional columns including:

    • Current Months Hours Worked
    • Last Month Hours Worked
    • Current Years Hours Worked
    • Last Year Hours Worked
    • Years With Data

    Facility Search Feature
    For organizations with more than 20 locations, IndustrySafe now allows for a facility search feature on all recording forms and reports where users can select facilities.  Users can go directly to the facility search feature to search for and select their facility.   When selecting a facility first, other layers of the hierarchy will automatically auto-fill.  Users do not need to select other layers first prior to searching for the facility.   The facility search also includes a Show All which will allows users to view all applicable facilities within their hierarchy selection.

    Child Form Updates
    Child forms in IndustrySafe have been updated to allow for easier additional and deletion of items.   Child forms are must often used in the Incident Investigation form and Witnesses, Vehicles, Lost and Restricted Date Ranges are examples of child forms.

    Mobile Tablet Redesign
    The mobile tablet web screens of IndustrySafe have been updated to allow for improved ease of use when conducting inspections and observations, especially inspections and observations with long checklists.  This feature is available on recommended IndustrySafe Tablets.  We are continuing to work on enhancing the IndustrySafe experience on mobile devices -so stay tuned for future updates.

    Longitude and latitude have been added to the New Incident Form and can autofill based on section and location. A new dashboard Map - Incidents By Location will map incidents based on this longitude and latitude including drill down and zoom capabilities.  More detail is available in the following Longitude and Latitude article.

    Revision and Form History

    All IndustrySafe forms now include a form history section that will allow users to view a revision history of the record including the date/time and user who creates and/or updates a record. This history section is enabled by default but can be disabled by IndustrySafe System Administrators.

    Training Profile

    The Training "Assign Class" Feature under Class Catalog in the Training Module has been replaced with the Training Profile.  The Training Profile offers additional features over the assign class matrix including the ability to assign multiple training profiles to an employee  (previously an employee could only be assigned one training profile based on job title) and for profiles to differ by location.  Previously the same job title in one location would need to have the same training requirements as the same job title in a different location.

    For Clients utilizing the assign classes matrix existing job profile data will be imported into the new profile feature as part of the release update.  The employee import service has also been updated to include a profile column.

    Applicable reports have been updated to include a Profile filter and a new report Training by Profile is available to end users.

    The Training Home Page has re-designed to allow for improved ease of use and to highlight additional metrics.   Panels include required training (with additional date ranges) and improved scheduling feature, enhanced upcoming classes and training calendar, a chart of all training in the last 30 days, and a table displaying key training metrics.

    Mobile Phone Web Redesign

    The mobile phone web screens of IndustrySafe have been updated to allow for much ease of use to conduct inspections and observations.  This feature is available on all web enabled mobile phone devices by logging in to IndustrySafe.

    Photo/Logo Update

    IndustrySafe has improved the IndustrySafe System Administrator interface for uploading your logos to IndustrySafe and now also offers the ability for individual users to utilize different logos for reports.  Please see our logo article for more information.

    Attachments Update

    Uploading Attachments is now easier and quicker than ever.  Attachments are named automatically and depending on browser versions multiple attachments can be selected for upload.  For image attachments, users can hover over to view a snapshot of the image.

    System Functions Home Page

    The System Functions Home Page has been redesigned to be more user friendly.  Links to key videos and webinars are available.  Webinars and videos are also available on the IndustrySafe YouTube channel: www.youtube.com/user/IndustrySafeSoftware.

    Multiple Selection on the Summary Screens
    All of the IndustrySafe summary screens now include the ability to select multiple drop down values for the drop downs included in the summary screen search criteria.  Previously, only one drop down value per drop down could be selected per search.  The ability to select multiple drop down values per drop down will allow all end users to conduct more in-depth and detailed summary screen searches.

    Home Module Redesign
    The Home Module has a brand new look and feel and many more features.  From April 15th to May 15th, the Home Module will be offered free to all clients who are not currently subscribing to the Home Module.  If you would like to continue using the Home Module after May 15th, please contact us for pricing.

    New Features of the Home Module include:

    • Bubble Chart displaying all key activity for your organization over the past 30 days with the ability to drill down to view selected activity
    • Recent Items display allowing you to select and go to your most recent action within the Software
    • My Open Items displaying any items that have a status of open and are assigned to you
    • Enhanced Add Button allowing you to add any type of record including documents to the document library
    • Events and Tasks Summaries allowing users (with the appropriate permissions) to view and search events and tasks for the entire organization (previously users could only easily see their events and tasks).

    Enhanced Email Notification Tracking
    For all emails within IndustrySafe sent using the Send Email button, located on the recording form, more tracking features are available.  Users now have the ability to track recipients of the email as well as the time and message sent.  (Previously only the sender and date were tracked).  This email notification page can also be branded with logo and previous messages can be included in all future email notifications.

    New Closed Hazards Email Notification
    A new automatic email notification is available in the Hazards Module.  This alert will allow users who reported the Hazard to receive automatic email notification once the Hazard is closed.

    New Claims Payment Log Report
    The Claims Module has a new log report that easily allows users to view the claims payment history of individual or multiple claims.

    The IndustrySafe Dashboard has been updated with a more modern and fresh look and feel.
